Notes from Drums for Peace-Meeting

Full-group discussion:

1.
Additional Fundraising
a) Advertising on DfP-brochure and on T-shirtss was suggested
b) Eugenia suggested and contacted Teo from Romania in order to pay a ”buisness-person” to do fundraising at companies.
c) Nokia (”Connecting People”) and Airbus (European airplane cooperation based in Toulouse” were suggested as good excamples of companies to cooperate with.
d) It was agreed to work towards Drums for Peace as an official recognised organisation having a constitution.
e) It was agreed that the 4 Danish representatives at the meeting constituted a Danish association ”Drums for Peace” in order to:
i) Have an official registration as an organisation
ii) Open a bankaccount in order to fundraise from companies.
2.
Insurance Policy
The meeting decided to use GOUDA insurance for all participants in DfP-projects funded by Youth in Action. Youth-exchanges as well as trainings and meetings. RIDGES exchange in DK got approved 2.000 € for paying a free-lance-journalist produce articles on the exchange and the DfP-methodology and to secure that they were printed in relevant newsletters. They were brought 3 times in pedagogical union newsletters and probably seen by 30.000 Danish professionals.

Deadlines
Bo reminded on the deadline of 6 weeks before a project for sending list of participants. Too much time is spent on waiting and asking, time which can be spent much better.
a) A higher fee was suggested for being late.

Information strategy - dissemination – impact
a) Newsletter to promote DfP was suggested
b) The webpage needs to be updated on ”About Us” with links to each organisation.
c) Iwan mentioned a Wales organisation named ”Arts & Buisness”
d) Iwan suggested to have an external expert for all DfP-meetings.
e) A training-course on Fundraising-dissemination & Impact was suggested to take place in Denmark 20-24th May – hosted by Sonderborg MultiCultural Society (Richardt).
The meeting discussed different ways to organize the meeting f.ex. in connection with the multinational Sonderborg Company “Danfoss”, which is earning money from heating systems /termostates, but is very engaged in life-long-learning and also have constructed the learning-lab “Danfoss-Universe”.
5.
Participation fees
Some asked if the participation fee could be lower, but Bo answered that f.ex. artists fee perhaps should be higher, as it has now been the same for 8 years.
It was agreed to discuss the whole financial issue at the DfP-meeting 2009, but in order to do so, it needs a written suggestion to be mailed around at least 1 or 2 months before the meeting takes place.
A working group with Sheila, Nicolas, Graça, Indrek, Yuliana, Katja and Bo will before 1st May send the first drafts for a new financial part of our guidelines.
6.
DfP-evaluation booklet
Iwan explained about the evaluation booklet, which from now on will be a task for the groupleaders to process and report back.
7.
KLM-refund issue
Back in October 2007 KLM phoned Bo at the Cassiopeias exchange in Copenhagen and said that they would rebook some from the Wales group.
The compensation for this was transfered to Bo a couple of months after, but Bo has no bank-accounts of the participants and the groupleaders neither – and they didn’t recommend such a solution.
The DfP-meeting decided:
a) To pay the 2 groupleaders their compensation in order to cover additional phonecalls etc.
b) To spend most of the money on paying expenses for a French group, who lost their KLM-flight in October this year – and so their low-price-connection home to Bergrac, France. Instead they had to use train from Paris, but the cost of this did exceed the approved budget.
c) Any money left will be used on printing DfP-evaluation-booklet.

8.

How to involve new countries
Nicolas was interested in cooperating with more organizations from France(?) and Spain, and the meeting agrred and found this very interesting.
